Renaming thousands of client PDFs each season with Hazel, Alfred and Automator

A 2022 tutorial from a tax preparer: text snippets name the file, Hazel spots it, and a script adds the client’s name.

WHAT THEY DID

Josh Ginter types a short snippet that expands to a placeholder file name, saves the PDF to the Desktop, and a Hazel rule spots the name and runs an Automator workflow that asks for the client’s name, keeps it on the clipboard for the next document, and adds it to the front of the file name.

HOW IT WENT

He estimates 3 to 5 seconds saved per document, around 160 to 267 minutes a season over about 3,200 documents, and an 80% cut in renaming time.

WORTH KNOWING

Written by a tax preparer in 2022, not a designer, but the pattern suits invoices and deliverables. Filing into per-client folders would have needed 800+ rules, which he judged impractical.
